Effective Time Management - It's Easy Once You Know How

Dean Caporella

Effective time management is all about controlling your time. Effective time management is not about wasting those precious minutes on trivial things but implementing a time management system and sticking to it.

If you are unable to take conscious and effective control of your decision making then effective time management "flies out the window." You'll be reacting and tending to less urgent and unimportant matters and start to ignore the important "part of my effective time management" matters more and more. Eventually, you'll be back walking around that giant maze knowing what you want to accomplish but not having the plan to achieve it.

Useful Tips for Effective Time Management

It does not matter how you keep track of everything. Just make sure you figure out some way to physically manage your time. This way you know how you are going to spend your time. You should make sure you prioritize with these tasks. Put all of the projects you have to have done on the top of the list. The things that can wait can go on the bottom of the list. Make sure you know out of all your tasks which ones you have to accomplish. Then set the goal to how far you have to get on the list for each day.

If your business is a one-man show, change things and hire someone to take over some of the workload for you. You should always have at least one other person to take over some of the workload and make things easier for you. Most probably you can offload a lot of the repetitive, dull work of managing the daily routine of a business to other people – that way you can schedule your time in other forms for other projects. Good, effective time management can help you to get the most out of your business. If you do combine with someone to help with the load, make sure they understand you make all the rules and schedules (that is, don’t turn over the business to them).

With effective time management, you need to establish a routine and stick to it as much as you possibly can. While things will happen to get in your way, you’ll be more productive if you can follow the routine most of the time. This way people get to know what your time frames are and this makes it easier for them to help you do what you need to get done. Another part of making sure that you actually get things done is to get in the habit of setting (and meeting) time limits for the tasks needing to be completed.

Eliminating Time Wasting Activities

Reading and answering e-mail can consume a big portion of your day. Make sure you only allow a certain amount of time for checking the mail, and then ensure that you stick to that schedule. If you know you are wasting too much time chatting on the Internet with people who interrupt you, make it so no one can contact you during certain hours. This way you won’t be wasting your time and will be practicing effective time management.

In my business and work area as a web publisher and a television presenter, I strictly follow an effective time management plan for both. My television work time is exactly that; I concentrate wholly on accomplishing my set tasks. My web publishing business requires me to have an even better effective time management plan in place. I'm it in the business. When writing, I need no interruptions and switch off all communication devices. I do check messages though at set times during the day. Call me anti-social if you like but I get things done. So find the most effective time management plan for you and "stick to it like glue."

Another good (or bad) time-waster is “looking for information”. You need to be organized to have effective time management. You need to be able to have the files or information you need at your fingertips. Make sure you set your system up so everything falls in an orderly fashion. This way you can always find something in a hurry. This will help you to speed up the progress of your project or day.

If you are stuck in an office waiting, don’t waste your time. Always bring a pad of paper and a pen if you can. At the very least, you can organize your day by writing down your plans. If it is something else you can take with you for a project, it’s even better. You can control your life, but you can’t control time. Get organized today and use effective time management to meet your life goals.
